The information you provide to Pew via its career site as part of your application for employment, the information Pew may have acquired as a result of your application for employment, or the information you provide to Pew as a result of your subsequent employment with Pew will be held and processed by or on behalf of Pew for purposes related to your registration of interest in current or future employment with Pew, the processing of your application for employment and, if your application is successful, your employment.
Some of the personal data we collect in relation to employment is collected pursuant to laws including the Fair Work Act, Superannuation Guarantee (Administration) Act, Income Tax Assessment and other tax laws, Corporations Act, occupational health and safety acts and workers compensation acts.
When you request information about employment with Pew via Pew’s career site, we may need to receive some personal data about you. You can decide what personal data you provide to us. To help in the recruitment process, we collect personal data about you from your profile, resume/CV, referees and other persons or entities referred to in your resume/CV, public sources (including the internet) and in some circumstances from external assessors. This is necessary in order to assess your application and take further steps prior to entering into an employment contract. You may choose to provide us with personal data if, for example, you contact us with an enquiry, register on Pew’s career site, or fill out an application or other form which may include your personal data. If you provide us with someone else’s personal data you must ensure they have consented to their personal data being provided to us based on this document.
We may use the personal data that you supplied (including telephone number, postal address, and or email address), in order to contact you regarding our recruitment opportunities and provide you with information about working at Pew. We may use your personal data in order to verify your identity and personal data, conduct background and screening checks, maintain and update our records and respond to your queries and requests. The personal data you provide may be used by a service provider to enable us to respond to you. Without your personal data we may be limited in our ability to consider you further for positions with us.
If your application is unsuccessful, Pew may retain and use your personal data in a secure database for up to two (2) years to deal with any matter which may arise in connection with your application, for purposes of contacting you in connection with ongoing recruitment opportunities, as well as for data analysis, general management and business purposes.
If your application is successful, your personal data will be used in the administration of your employment. Additional personal data will, at that moment, be requested from you for that same purpose. Administration of your employment includes the performance of your employment contract, compensation management, protecting health and safety, Pew’s compliance with its statutory obligations or other processing operations in Pew’s legitimate interests (such as performance appraisals and monitoring, development of HR policies and procedures, internal statistics, etc.). Such data will be retained as long as necessary for the fulfilment of these purposes.
Under no circumstances will the personal data you provide be used for marketing purposes.
You can update your contact details at any time by visiting your candidate account (for applicants) or your Workday profile (for employees) and updating your information accordingly. You can contact us at privacy@pewtrusts.org if you would like to request access to your personal data, correct your personal data in the event of inaccuracies or make a privacy complaint. To achieve better quality or efficiency in the processing and administration of applicant and employee data, Pew may enter into contracts with third parties to carry out this processing on behalf of and only according to Pew’s instructions. Please also note that when data is transferred to third parties in these circumstances, these parties are bound by confidentiality and data protection agreements and are required to keep your data secure. Such third-parties may include providers of data hosting, staff benefits, payroll, recruitment, data processing, research, investigation, auditing, accounting, legal, business consulting, archival, banking, payment, delivery, website and technology services.
We may also exchange your personal information with our affiliates, your representatives, referees, your current and previous employers, academic institutions, professional and trade associations, law enforcement agencies and other government entities.
The technical processing and transmission of your personal data (whether within Pew or through third parties) may involve transmissions over various networks, including the transfer of your personal data to the United States, United Kingdom, countries in the European Economic Area and/or other countries for storage, processing and use. This may include countries located outside Australia.
